How do you guys organize multiple items belonging to the same server?
Hello!
I'm setting up a home server, and there are several accounts or usernames that it has, not to mention other items that should be stored. For example:
- The root login
- The admin login for a Windows VM
- A username/password for a Samba share that will be used by other computers to do backups to the server
- The Windows license key used in that VM
- Windows security questions
I anticipate more over time. None of these are passwords that would be automatically entered, like for a website login. I've read that the 1Password philosophy is one username/password pair per 1Password item, but for this purpose that seems like a lot of disorganization. To me -- and maybe I'm thinking about this incorrectly -- it makes more sense to group together all passwords and items for this one server. I could just make a single Secure Note to store everything, but then all the passwords are just "out in the open" in the note, plus you lose the ability to quickly generate new passwords.
I realize there are multiple ways to structure things, so I'm curious how some of you organize this type of thing.
Thanks!

Hello Jeff_B! 👋
Thanks for starting this discussion! I personally prefer to create a single Login item for each service that I use, even if they're on the same device, for easier item management. Then I'm able to:
- Fill the password using Universal Autofill or Auto-type.
- Share just the minimum amount of information if a family member or co-worker needs the password.
I can use tags or related item links to link the items together. And, if you do need to fill passwords, you can set autofill behaviors to just have them be suggested on particular ports and subdomains. However, I'd love to hear more about what other people in the community do on their end. 🙂-Dave
