5. Track inventory and workflows for IT assets

A complete picture of your organization’s IT environment doesn’t stop at apps and access. Every user also interacts with a physical device – a crucial and often overlooked part of the employee lifecycle. 

With 1Password SaaS Manager, IT teams can tie devices to users and manage hardware alongside user accounts and app access for a comprehensive, people-centric view of IT use within the organization. This consolidated view also makes it easy to answer simple but critical questions:

SaaS Manager integrates with device management tools such as MDM and EDRs, as well as with IT Asset Management tools, to ensure the register stays accurate as inventory changes. If your systems don’t support direct integration, you can upload a simple spreadsheet or CSV file instead. Default views highlight upcoming lifecycle events, like devices nearing their expected replacement date or those currently assigned to users who are leaving soon. These insights help teams plan ahead, avoid last-minute scrambles for replacement hardware, and maintain accurate asset records for auditing or budgeting.

Each device record can include details such as supplier, purchase cost, warranty status, and condition, giving you both operational and financial visibility in one place. You can even link custom attributes – such as “last OS update” or “encryption enabled” – to tie hardware tracking directly to your security posture.

For devices managed through supported MDMs, EDRs, and ITAM, 1Password SaaS Manager can also surface the list of installed desktop applications. This information gives IT teams another way to identify software installed across endpoints, such as desktop versions of communication or productivity tools.

For organizations managing hundreds or thousands of endpoints, this level of consolidation eliminates the need to log into multiple device management or IT asset management tools to find simple answers. Automate reconditioning and replacement

Hardware lifecycle management often involves repetitive steps: checking warranties, emailing employees about replacements, and coordinating with procurement or repair teams. 1Password SaaS Manager allows you to surface this data in the device register so that your team can see when devices meet specific criteria and take necessary action.

For example, you can set up a workflow to identify devices nearing the end of their lifespan and automatically notify assignees through Slack, Microsoft Teams, or email. Using merge fields, you can include details like device model, serial number, and expected replacement date.

From there, the workflow can create a task to organize repairs or place a replacement order. Once completed, it can trigger a follow-up to request that the employee return their old device and update its status to In repair or Retired. If your environment is integrated with a device management platform like Jamf Pro or Iru, the workflow can also remove the retired device from that system automatically.

These automated processes reduce manual oversight and ensure that every device follows a predictable, auditable lifecycle from deployment to decommissioning.

Recover devices during offboarding workflows 

Hardware recovery is one of the most overlooked parts when employees leave. Forgotten laptops not only increase costs but can also pose data security risks. 1Password SaaS Manager helps prevent that by tying hardware recovery directly to employee offboarding workflows.

When an employee leaves, their record automatically triggers the Terminated assignees view, listing all devices currently assigned to them. IT can see exactly what needs to be retrieved before access is revoked or credentials are disabled. 1Password SaaS Manager can trigger device actions such as disabling or locking a device directly within several MDMs and EDRs, including JAMF and Kandji. 

You can extend your existing offboarding workflow to handle device recovery automatically. For instance, when a “Person leaves” trigger activates, 1Password SaaS Manager can filter for all devices assigned to that user and send a Slack or Microsoft Teams message to their manager with a list of assets to be returned. 

This approach helps ensure that nothing gets left behind. Laptops, monitors, and peripherals are recovered promptly, asset records stay accurate, and you maintain control over both digital and physical access.
